FitAxis ("FitAxis," "we," "us," or "our") provides gym and fitness business management software, including a mobile application for iOS and Apple Watch (the "App") and related web services (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

1. Information We Collect

We collect the following categories of information:

• Account Information: Name, email address, and gym/business affiliation provided during signup or registration by a gym owner or operator.
• Health and Fitness Data: With your explicit permission, the App accesses Apple HealthKit to read and record workout data, including heart rate, calories burned, workout duration, and interval/split performance during exercise sessions. This data is used solely to display your fitness metrics and class performance within the App and to your gym's owner dashboard or TV displays where applicable.
• Location Data: With your explicit permission, the App uses your device's location (via geofencing) to automatically detect when you arrive at your gym for class check-in purposes. Location is monitored only within defined gym geofence boundaries and is not tracked continuously or used for any purpose other than check-in.
• Usage Information: Class bookings, attendance history, food and weight logs you choose to enter, chat messages within the app, and engagement with leaderboard or credit-tracking features.
• Device Information: Device type, operating system version, and app version, used for troubleshooting and compatibility purposes.

2. How We Use Your Information

We use the information we collect to:

• Provide and operate the Service, including workout tracking, automatic check-ins, class scheduling, and leaderboard features.
• Allow your gym's owner or staff to view your attendance, performance, and engagement data for the purpose of operating their business.
• Reflect your white-labeled gym branding and member experience.
• Maintain a record-only credit/session ledger for prepaid services at your gym (no payment processing occurs within the App).
• Communicate with you about your account or the Service.
• Improve, troubleshoot, and secure the Service.

3. HealthKit Data Specifically

In accordance with Apple's guidelines, FitAxis does not use HealthKit data for advertising or marketing purposes, and does not sell HealthKit data to third parties or data brokers. HealthKit data is used exclusively to power in-app fitness tracking features and is only shared with your affiliated gym for the purpose of displaying your class performance (e.g., on gym TV dashboards during class), where such display features are enabled by your gym.

4. Location Data Specifically

Location data collected for geofence check-in purposes is used only to determine arrival at a registered gym location and is not shared with third parties, sold, or used for advertising. You may disable location permissions at any time in your device settings, though doing so will disable automatic check-in functionality.

5. Information Sharing

We do not sell your personal information. We may share information with:

• Your affiliated gym/business, who acts as an independent data controller for member records related to their own operations.
• Service providers who help us operate the Service (e.g., hosting providers), under confidentiality obligations.
• Law enforcement or regulators where required by law.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data by contacting us using the information below, subject to any retention obligations your affiliated gym may have under its own recordkeeping practices.

7. Your Choices

You may control HealthKit and Location permissions at any time through your device's Settings app. You may also request access to, correction of, or deletion of your personal information by contacting us.

8. Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
